Travel Authorization at CoJMC

Thanks to COVID-19 we haven’t traveled in a while. Opportunities to travel are picking up and faculty and staff are struggling to remember the steps to travel authorization in the college. Please review this quick reminder about how to get approval to travel in the college.

Travel authorization in the college has two steps.

Step 1: Memorandum of Absence

Complete the college’s memorandum of absence to confirm or apply for funding. The memorandum of absence serves as your funding authorization. You can request to use funding already dedicated to you like a professorship, start-up funds or project funds. The college will verify the availability of funding and the allowability of travel and return your request. Or you can apply for Seacrest Travel funds to support your travel. Requests for Seacrest Travel funds are awarded based upon the availability of funding and the purpose of the travel.

The memorandum of absence also provides the college with information on how your responsibilities will be covered during your absence.

You will receive an email response to your memorandum of absence with the cost center or WBS to use in step 2.

Step 2: Complete the Pre-trip in Concur

Complete the Pre-travel authorization in Concur. Concur is available through Firefly. The pre-travel authorization provides detailed information about your trip. It is reviewed for the appropriateness of the travel and approved by your supervisor.

Travelers must complete their own pre-trip and expense reports in Concur. All faculty and staff who may travel are part of their responsibilities are strongly encouraged to attend a University travel training to learn how to use the Concur system.

Note: This travel authorization process is for employee travel. If you are traveling with students, please review the Domestic Travel with Students page or contact Education Abroad if the travel is international.
