Position Responsibilities

Position: Retail Advertising Sales Assistant/Creative Graphics
Reports To: Vice President of Sales
Reporting To: None

Organizational Relationships: The Retail Advertising Sales Assistant reports directly to the Vice President of Sales, and works closely with other retail advertising personnel to assist in the proper execution of necessary duties.

Function and Scope: The Retail Advertising Sales Assistant’s primary responsibility is to provide account executives with internal and external support as needed, process paperwork, layouts, write copy, prepare advertising schedules, type, file, keep computer records, create ads, etc.

Definition: Retail advertising includes all advertising placed by retail accounts located within Suburban Newspapers Inc. defined market area, East Division (primarily Sarpy County, NE).

Duties and Responsibilities:
Schedule advertising within established deadlines.
Process and track insertion orders for both ROP and preprint orders, including, if necessary, producing layouts complete with artwork and copy.
Be responsible for accuracy of advertising layouts and corrections of proofs.
Pick up copy or artwork from designated accounts when assigned.
Handle other needs of account executives and advertisers as assigned.
Assist with answering incoming calls for the Advertising Department as assigned.
Become familiar with all sales aids provided for us with advertising customers.
Know advertising division’s procedures and company policies.
Perform other duties as assigned by department management.

Essential Job Functions:
1. Become familiar with territories serviced by account executives and assist them with all aspects of advertising, including making ordering, producing layouts, typing copy, sizing art, etc. These tasks are to be done with the emphasis on time, quality and free of errors.
2. Obtain advertising copy, proofs and instructions from advertisers, either by driving to pick up or by receiving information correctly by telephone.
3. Know available advertising sales material, including rate cards, and be able to use them correctly and effectively when selling or answering questions from advertisers.
4. Assist account executives with service problems effectively and courteously.
5. Be familiar with Microsoft Office software including Excel and Word.
6. Know and correctly apply all advertising division and company policies, and local, state and federal guidelines and laws when accepting ads or giving information about publication.
7. Perform other clerical duties as assigned.

Preferred Job Skills:
Creative graphic abilities…knowledge of newspaper advertising layout and softwares including Quark, Photoshop and Illustrator.

Must present a professional appearance.
Must be able to manipulate and arrange advertising components.
Must be able to operate a computer, answer telephones, work a photocopier and fax machine.

Must possess proofreading, grammatical, written and oral communication skills.
Must posses and utilize active listening skills.
Must be able to effectively communicate and transact business with the public.
Must be able to conceptualize, visualize and create advertising ideas, copy and text for advertisers.
Must be able to manage the demands of completing multiple tasks under deadline constraints.
Must be able to communicate and transact business effectively and professionally with the wide range and varying degrees of emotions and personalities of customers in differing situations
